Christina Ecklund has joined the WinCapWEB support team. She comes to Capital Computer Associates having most recently devoted two years to supporting and implementing WinCapWEB PD for Monroe 1 BOCES. Christina's primary focus will be on the Professional Development Management System as well as in assisting with support of our Employee Self-Service module. She also brings to CCA the perspective of having been a teacher and creating professional development offerings to other teaching professionals. I joined Capital Computer Associates in July of 2000 as a Payroll/HR Support Specialist, making me the longest tenured support person here at CCA. When I first started, there were only 35 clients and only two of us supporting the system payroll and HR functions. We are closing in on 200 client sites with five full-time Payroll/HR Support specialists supporting those functions here at CCA along with staff at our eight RIC support partners.

    Two years ago I was promoted to take charge of our web-based HR applications, which includes the system Employee-Self Service feature as well as Professional Development Management, and Time & Attendance. I have seen interest grow from a single Professional Development client in 2008 to current participation by 85 client sites using at least one web module, and the list continues to grow each day. I now have three employees working with me to implement new sites, to provide overall support of these web applications, and to test and support new programming initiatives. 

    Prior to joining CCA, I worked for Kaiser Permanente processing a payroll for 1300 nurses in Connecticut, Vermont and New York. I met my wife Andrea while working at Kaiser. Having grown up with four sisters, I was well-prepared for the beautiful daughters I have been blessed with: Aleyna, 21, is pursuing a degree in Psychology from Eastern CT; Emma, 3, recently started pre-school in a nursing home where they get to do arts and crafts and sing songs with the resident grandmas and grandpas, and Sara who is rapidly forming her own personality as she approaches her first birthday. As I like to tell people, I spaced them exactly the way I wanted to.

    I am an avid runner, mostly because I am also an avid consumer of food! I have competed in 3 Boilermakers (well-known race in Utica) and 2 half-marathons. I hope to one day run in the NYC marathon. I also enjoy horse racing as a fan of the shear beauty of the animals and the thrill of the competition. I love to play golf, but with small children at home my golf game has been somewhat limited the last few years (some would say it's always been limited). I look forward to the upcoming year both personally and professionally with the potential of challenges and rewards.

 On-Line Shopping & Electronic Ordering is a WinCap feature that allows users to directly link to vendor web-based ordering systems through the Requisition/PO form. The user

is taken to the vendor's website and is seamlessly logged-in using the district's pertinent account information. The applicable district pricing plan is presented to your users.  

After browsing and selecting the desired items on the vendor's website, the user's request to "checkout" or "submit order" will actually copy the items from their shopping cart into the WinCap requisition. This eliminates the need for the central office to look for the "see attached" document, as the actual requested items are clearly itemized on each line of the purchase order.

     "I can't say enough about the Online Shopping feature in WinCap. From the first time they used this feature, the staff was hooked! They are very comfortable with the format and it removes ALL of the guesswork involved with item descriptions, item numbers, pricing, shipping, etc. We use it to compare prices (ex: OfficeMax/Staples) all the time, and it eliminates the need to have logons and passwords for individual vendor sites. We have not had a lost order, return, or billing discrepancy with Online Shopping orders. Before Online Shopping, we certainly had access to items and state contract pricing, but with Online Shopping we have flawless access to all of that within our accounting software---perfection! The Online Shopping feature in WinCap is a real time and money saver at Newburgh."

Requisitions created using On-Line Shopping move through the same approval process as for any other WinCap pending purchase order. These orders are internally tagged as electronic orders (e-orders) so that once they are issued they are electronically transmitted to the vendor via the web when the district chooses to "print" the original order.

     "We find Online Shopping to be a great time saver - no need to type long descriptions and catalog item numbers. That eliminates a lot of errors. Also, we have fewer AP problems as correct pricing is automatically brought into the order. Wish all our vendors were punch-out vendors!"

  WHAT'S NEW & COMING 

Introducing Our Latest Electronic Workflow Option: Automated A/P 

 

    Our latest electronic workflow feature to streamline school business operations is now available. School districts and BOCES using WinCap can eliminate the need to print checks for all disbursements, by utilizing the various options offered through this new Automated A/P feature:

    Bank-sponsored revenue sharing options-Take advantage of our custom interfaces to automated A/P services offered by various banking institutions that provide a revenue- sharing "rebate" for payments processed through these services. WinCap clients have already begun realizing their 'rebates' through our interface to the Commerce Bank Control Pay Advanced (CPA) feature.

    Automated Clearinghouse (ACH)-Generate ACH payment files for processing your A/P payments in the same manner as already in use for your payroll direct deposits. WinCap also sends an email notification to each vendor to inform them that your payment has been transmitted to their bank account and provides remittance detail as to the specific invoices being paid.

    Credit, Debit, and Purchase Card Payment Posting-A custom routine downloads the monthly statement for your bank-issued cards and creates detailed system A/P transactions for posting to WinCap accounting journals and the General Ledger. This fully eliminates the need for any manual accounting entries to record the authorized card purchases and the related debits posted by the bank to your accounts.

    Take another step toward realizing the paperless office and eliminate the opportunity for check fraud at the same time! Plus, cut costs for labor, check stock, printer toner, envelopes and postage.
